Overview
Groups and organizations have many of the same challenges of a private country club except on a smaller scale and the staff is usually all volunteers. Tracking member information, event registration and membership renewals until now have been a difficult and time consuming task. Information is usually stored in different systems, like Word or Excel. Members have to call or email the event coordinator to make an event reservation, or worst the event coordinator must contact each member to verify attendance.
Until now, small groups or organizations didn't have a low cost alternative. The system is maintained on our servers in a secure data center. No software or hardware to purchase, backups to maintain or security issues to deal with, the system is our responsibility. We take our responsibility very seriously and utilize the latest data encryption technology, secure firewalls and network monitoring techniques available.
Member Tracking and Renewal
The system is based on an organization with multiple chapters design. Each chapter is responsible for maintaining their own information, however information can be available to other chapters or the entire organization. This design helps facilitate the growth of the common bond of the organization. The sharing of a chapter's information let other chapter members utilize fellow member services before looking outside the organization.
The system maintains a member profile for each member, including personal information (address, spouse name, birthday), contact information (telephone numbers and email addresses), work information (company, industry, job title, web site and job description) and chapter information (member since, expiration date, board position and chair positions). The member can determine what information is available for view by other members or chapters.
In these hard economic times, a lot of members would like to spread their membership dues over a few payments. The online membership renewal system lets members pay with a credit card, keeping their membership active.
Reservations
Members and guest can go online and sign up for up coming events. Each event is listed by date in a drop down box. Event fees are date, time and member/guest sensitive and will change automatically based on when the reservation is made. The system will also track the meal choice for those events with meal options. During the reservation process the member/guest can also purchase raffle tickets for a chance to win a door prize. The transaction is completed with a credit card via a secure internet connection.
Detailed reporting quickly identifies those members and guests registered for an event. No longer does every member need to be called or emailed to find out if they "plan on attending", only those not already registered, saving valuable member time every month.
Cash flow is improved since the organization receives the payment before the event and has an accurate count of attendees so the correct number of meals is ordered. Walk in members/guests with credit card payments can be handled via a laptop with a internet connection at the check in desk. Email receipt/confirmations are automatically sent upon the completion of every transaction.
Guest Information
Tracking guest's information when they sign up for an event is easy. A brief profile is created for each guest assisting the membership committee with potential member follow up.

We understand that small groups and organizations have limited funds. The system is priced at one dollar per month per member with no setup fee.
